Cash flow is the lifeblood of a service business. And nothing kills cash flow faster than sloppy invoicing. Here are five common mistakes and how to fix them.
1. Waiting Too Long to Invoice
If you finish a job on Tuesday and send the invoice on Friday, you've already lost three days. The customer's memory fades. The urgency drops. They put it in the "I'll get to it later" pile.
Fix: Invoice the same day the job is completed. Better yet, use software that generates the invoice automatically when the job is marked done.
2. Vague Line Items
"Plumbing service — $450" tells the customer nothing. They don't remember what you did, so they question the charge. Then they delay payment while they "look into it."
Fix: Be specific. List every task, part, and hour. "Replace kitchen faucet (Moen Arbor) — parts $189, labor 1.5hrs @ $95/hr — $331.50" is clear and defensible.
3. Not Offering Online Payment
If the only way to pay is by check in the mail, expect to wait 2-4 weeks. Some customers will never get around to it.
Fix: Offer credit card and ACH payment directly on the invoice. Homitask includes a "Pay Now" button on every invoice — most customers pay within 24 hours.
4. No Follow-Up on Overdue Invoices
It's uncomfortable to chase money. So many business owners just... don't. They hope the customer will eventually pay. Some will. Many won't.
Fix: Set up automatic payment reminders. A friendly nudge at 7 days and a firmer reminder at 14 days works for most situations. Automate it so you don't have to think about it.
5. Not Tracking What's Owed
If you don't know who owes you money and how much, you can't manage your cash flow. It's that simple.
Fix: Use a dashboard that shows outstanding invoices, overdue amounts, and payment trends at a glance. Review it weekly. If an account hits 30 days overdue, pick up the phone.
Good invoicing isn't just about getting paid — it's about getting paid on time, every time. Clean up these five mistakes and you'll see the difference in your bank account within a month.
